Appointment Book
Version 1.0

This file contains general information regarding the Appointment
Book application. Its purpose is to familiarize the user with the
aspects of the Appointment Book application. It is not intended to
be a substitute for the application users's manual. The user's manual
can be obtained by registering the product (See below).
The Appointment Book application is a general purpose appointment maker
which can be used in a small business or home environment. It easily allows
the user to keep track of appointments for up to 10 office members per
appointment book (multiple appointment books are allowed). The Appointment
Book application makes it easy for the user to Enter, Edit, Delete (single
or selected range) appointments, as well as Search for an existing
appointment, Search for an open appointment for a designated office
member, Print appointments, and many other features which allow the
office (or home) user to easily maintain a appointment schedule for
every office member.
To run Appointment Book, copy the files from the distribution diskette
to an appropriate sub-directory on your hard drive (Appointment Book
will also run from a floppy drive, at the expense of speed). After
copying the files, type "APPTBOOK". There are no command line parameters.
When Appointment Book first comes up, a blank window will be displayed
with a menu structure at the top. To activate the menu, the user can
press the ESCAPE key or use the mouse to select a desired menu item.
When an appointment book is opened, the user is given a display of the
current day's appointments. Appointment displays are broken into 2
windows (Morning View and Afternoon View). Thse user can toggle back
and forth from each view by using the F1/F2 keys. Appointments are shown
in 10 minute intervals. Each appointment is displayed in reverse video
next to the appointment time for the duration of the appointment.
If a time slot contains an appointment for more that one office member, an
asterisk will be displayed next to the appointment time slot, indicating
to the user that there is more data to be seen (the user can use the
Configuration function to only view on office member appointments, or
use the Edit function to quickly bring up a list of today's appointments
to view any hidden appointments).
If an more than one appointment at the same time has been made for the
same office member, the application will display the times for which there
is a conflict in red (reverse video for monchrome monitor users).
A line at the bottom of the appointment book window gives the user
the shortcut keys to perform the most common functions.
The following paragraphs give a brief explanation of each function
of the Appointment Book application.
FILE
====
The FILE submenu contains the following functions :
New -> Allows the user to create a new appointment book.
The user is prompted to enter the name of the appointment
book for creation.
Open -> Allows the user to select an appointment book to open. A
file dialog box will appear. The user can select from a
list of files in the current directory, or use the dialog
box to traverse the directory tree to find the appropriate
appointment book.
Close -> Allows the user to close the currently open appointment
book.
Delete-> Allows the user to delete an appointment book. A file dialog
box (the same as "Open") will appear. The user can select
an appointment book to delete.
Print -> Allows the user to selectively print a range of appointments
for a single (or all) office member(s).
Exit -> Exits the Appointment Book application.
About -> Displays the Appointment Book About Box.
EDIT
====
The EDIT submenu contains the following functions :
Add -> Allows the user to add an appointment. The user can select
a standard or recurring appointment. Afterwards, an input form
is displayed, allowing the user to enter the appointment
data. When completed, the user can press F10 to accept the
appointment. If a recurring appointment was chisen, the user
is prompted for the type or recurrence and the number of
appointments to add. The application will check for clashes
in the appointment book for the scheduled office member. If a
conflict is present, the user will be warned of the
clash, and prompted to see if the user really wishes
to proceed. Added appointments are added directly to the
appointment book and are immediately accessible.
Delete -> Allows the user to delete an appointment on the currently
viewed day. A scrollable list box will appear. The user
can select from one of the listed appointments.
Edit -> Allows the user to edit an appointment on the currently
viewed day. A scrollable list box will appear. The
user can select from one of the listed appointments.
Appointment conflicts will be checked for if any of
the appointment data is changed.
Remove From-> Allows the user to delete a range of appointments for a
designated office member. An input form will be displayed
for the user to enter the start/end dates for the deletions.
The user will also be prompted to enter the office member
(All Office Members is also an option) of the appointments
to delete.
SEARCH
======
The SEARCH submenu contains the following functions :
Find Open Appointment -> Allows the user to search for an open appointment
slot on any date by entering the appointment
day, duration, office member. Open time slots
will be displayed in a list box. The user can
select an item from the list box. Once selected,
the user will be taken to the Add Record function
input form to add an appointment at the selected
time slot.
Find Scheduled -> Allows the user to search for a scheduled
Appointment appointment by entering A Last Name (if left
blank, all appoinments will be used), Office
Member, and Search Start/End date. The user will
be given a list of appointments which match
the given criteria. If the user select an item
from the list, the application will get the
desired record and allow the user to edit
the record.
Gantt View -> Displays a Gantt View of the currently viewed days
appointments. The user can use the left/right
arrow keys to move within the Gantt window.
VIEW
====
Next -> Moves the user to the next day. This day will
then be the currently viewed date for appointments.
Goto -> Allows the user to enter a date to goto. The
date entered will then be the currently viewed
date for appointments.
Morning View -> Selects the morning view window.
Afternoon View -> Selects the afternoon view window.
OTHER
=====
Configure -> Allows the user to set configuration parameters
for the appointment book.
1) Office Name
2) Workday Start
3) Workday End
4) Def. Appointee
Office member which is automatically brought
up as the default office member when adding
an appointment.
5) Display Mask
Office member to display appointments for on the
morning/afternoon view window. All Office Members
will display all appointments.
6) Office Members
A list of up to 10 office members for this
appointment book.
System Information
-> Displays information regarding the system's display
adapter, current drive, free disk space, etc.
Compress Database
-> Allows the user to compress a selected database. This is
useful after many add/delete operations. Compress will
squeeze out any non-contiguous unused space from the
database for optimum disk utilization. This function can
also be used to recover a damaged database (although this
function can recover damaged database information, not ALL
information from such a database might be recoverable
dependant upon the circumstances).
